How We Handle Your Personal Data

At Tengai, it is important to us that you feel secure and have confidence in how we handle your personal data – whether you are a customer, employee, supplier, or user of our services. This policy describes how Tengai works with personal privacy and data protection and how we comply with the principles of applicable data protection legislation:

  • We collect and handle personal data in a lawful and responsible manner, and only for purposes that are legitimate and clearly defined. Only the information that is truly needed for the purpose will be requested.
  • We retain personal data only as long as it is necessary to provide good customer service, maintain customer contacts, and deliver Tengai's services effectively. When the data is no longer needed, or upon request for deletion, it is removed.
  • We are open and transparent about which personal data is stored and why it is collected.
  • If any personal data is incorrect, our goal is to correct it as soon as possible.
  • We take appropriate technical and organizational security measures, consistent with industry standards, to ensure that your information is protected from unauthorized access. Only personnel who need access to personal data have it, and this is to support and maintain our service.

 

For Customers of Tengai

We process personal data about contact persons at our customers, which may include those responsible for contractual and commercial matters, system administrators, system managers, or purchasers of Tengai's services. To maintain contact and offer effective and relevant service, we collect basic contact information such as name, role, email address, and phone number. We handle only the information needed and use your data for purposes such as information, marketing, and customer care activities.

Even if you change roles within your company, we may retain your contact information. You will notice this by receiving email communications from us. You always have the option to request the removal of your information from our systems by contacting privacy@tengai.io. If your organization ceases to be a customer of ours, we retain your personal data as long as required to comply with other legislation, such as accounting laws.

For Those Interviewed by Tengai

If you have been interviewed by Tengai, you own your interview and can access it through your login to Tengai Talent Hub. While logged in, you can listen to your interview responses, redo your interview, or choose to delete your responses entirely.

If you have been interviewed by Tengai through one of our customers, you should contact them if you have questions about how your personal data is handled in connection with the recruitment process. Tengai generally has no knowledge of what information our customers store related to your Tengai interview or how long the information is retained by them.

For Potential Customers of Tengai

Tengai stores personal data about individuals we meet at sales meetings, trade shows, conferences, and other meetings with you as a potential buyer of Tengai's services. The personal data for this purpose includes basic contact information about you, such as name, role, email address, and phone number. This personal data may be stored for up to five years because sales cycles in our industry can sometimes be very long. The legal basis for this is a balance of interests.

The purpose is to provide you with the best and most relevant service possible in your contacts with Tengai, without any information or personal data being collected, stored, or handled unnecessarily. You always have the option to request deletion from our systems.

 

For Employees, Partners, or Suppliers of Tengai

If you have an ongoing or previous relationship with Tengai, as an employee, contractor, partner, or supplier, we have stored personal data about you. The purpose of the storage is strictly business-related, i.e., Tengai needs to use the personal data to pay salaries, invoices, taxes, and fees, contact the right representatives, and so on. The data is stored for up to 10 years after the employment, assignment, or partnership has ended. Thereafter, your personal data is deleted from our systems but may be registered again if we meet under new circumstances.

Cookie Policy

A cookie is a small text file sent by a website to your computer or mobile device where it is stored by your browser. A cookie contains limited non-personal data, usually a unique identifier and the name of the website. This allows a website to recognize you when you navigate the site and/or each time you return.

Cookies are used, among other things, to keep you logged in, save your preferences and settings, analyse how the website is used by you, and display customized information. Cookies can be used by the website you visit ("first-party cookie") or by another organization that provides services to that website, such as an analytics company ("third-party cookie"). They will either be stored during your visit ("session cookie") or saved on your device for a certain period, which can be months or even years. The purpose is then to remember your visit across multiple sessions ("persistent cookie").

Cookie Policy for Talent Hub (Job Seekers)

Talent Hub uses only a necessary login cookie to ensure that you are logged in during your use of the service, and during interview support, an additional support cookie is stored. The login cookie is a so-called session cookie and is necessary for functionality. If this cookie expires, which happens after about 8 hours of inactivity, you need to log in again.

The support cookie is created if you contact support during the interview process; it is used to link support history with a unique identifiable number (think barcode).

Details of the Login Cookie:

  • Purpose: This cookie is used solely to keep you logged in and ensure security. It contains a JSON Web Token (JWT) for authentication.
  • Validity: The login cookie is active during a session and expires after about 8 hours of inactivity.
  • Third-Party Sharing: No information is shared with third parties, and the cookie is encrypted to protect your data.

Details of the Support Cookie:

  • Purpose: Holds a unique identifiable number that ensures support history is stored correctly across multiple sessions.
  • Validity: As long as your interview is ongoing.
  • Third-Party Sharing: Only the unique identifier is shared with Intercom (support software).

You agree to the use of this cookie by accepting our terms and privacy policy when you start using the service. If you do not agree to this, you will unfortunately not be able to use the service.

Cookie Policy for Recruiting Hub (Customers)

Recruiting Hub uses both first-party and third-party cookies to provide users with a better and more supportive experience. When logging into Recruit, you agree to the use of these cookies, and this consent is required to use the service.

Details of Cookies and Third-Party Services:

  • HubSpot
    • Purpose: Used for customer support, case tracking, and improving user flows.
    • Validity: These cookies are stored for up to 1 year.
    • Third-Party Sharing: Only HubSpot has access to the information from these cookies, and no information is shared with third parties.
  • Intercom
    • Purpose: Used for support cases and to save conversation history.
    • Validity: These cookies are stored for up to 2 weeks.
    • Third-Party Sharing: Only Intercom has access to the information from these cookies, and no information is shared with third parties.

Consent and Management of Cookies

When you log into Recruit for the first time, and at each new login, a cookie banner is presented to inform about cookies and obtain your consent. You cannot choose specific cookies to accept or decline; consent covers all cookies used for the service's functionality.

At Tengai, we have a Data Protection Officer who handles our privacy matters. If a personal data incident occurs, Tengai has procedures to report and manage such an incident.
